About the position This position is a part-time permanent role at 20 hours a week. This position will report to our Elementary Pastor. We would like this position to start as soon as possible. Staff members are expected to adhere to Rockharbor’s leadership guidelines [which can be provided upon request].

Elementary Kids Associate

Primary purpose of position To provide administrative and operational support to Rockharbor Kids Elementary while also owning designated ministry-wide administrative and event responsibilities. This role helps the Elementary Pastor and Rockharbor Kids team create organized, prepared, welcoming, and well-resourced ministry environments for kids, families, and volunteers.

Key Responsibilities Elementary Ministry

• Provide administrative and operational support to the Elementary Pastor and Elementary ministry.
• Own the administrative components of Elementary volunteer onboarding, including tracking required steps, maintaining records, preparing nametags, and coordinating documentation.
• Maintain accurate Elementary volunteer and ministry information in Planning Center.
• Provide administrative support for Elementary volunteer scheduling and weekly volunteer communications as directed by the Elementary Pastor.
• Maintain the organization, cleanliness, and stocking of Elementary classrooms, closets, and ministry areas.
• Monitor Elementary inventory and purchase approved classroom supplies and resources.
• Prepare Elementary curriculum materials, crafts, copies, classroom supplies, and other resources needed for weekend programming.
• Prepare Elementary classrooms and ministry environments for weekend services and special events.

Kids Ministry-Wide Support

• Provide administrative and logistical support for designated Rockharbor Kids ministry-wide programs and events.
• Coordinate materials and logistical preparation for Child Dedications, including printed materials, family resources, gifts, signage, supplies, registration details, and event setup needs.
• Coordinate administrative and materials preparation for Family Sunday, VBS, Volunteer Trainings, Christmas, Easter, Baptisms, and other Rockharbor Kids events as assigned.
• Assist with ministry-wide registrations, reports, attendance information, calendars, and other administrative projects as assigned.
• Maintain and organize designated shared Rockharbor Kids supplies, event materials, and storage areas.
• Coordinate event setup and teardown logistics for assigned Rockharbor Kids events.
• Partner with ministry-area leaders to ensure materials, supplies, signage, and administrative details are prepared prior to events.

Qualifications

• Strong organizational and administrative skills with the ability to manage multiple projects, timelines, and details simultaneously while maintaining a high level of accuracy.
• Experience managing systems and databases (Planning Center or similar platforms preferred) with the ability to maintain accurate records, track processes, and keep information up to date.
• Excellent communication and follow-through with the ability to coordinate effectively with staff, volunteers, parents, and students while ensuring tasks and processes are completed in a timely manner.
• Ability to design, implement, and sustain efficient organizational systems and processes to enhance operational effectiveness
• Intimate and growing personal relationship with Jesus Christ
