About the position This position is a part-time permanent role at 20 hours a week. This position will report to our Youth Pastor. We would like this position to start as soon as possible. Staff members are expected to adhere to Rockharbor’s leadership guidelines [which can be provided upon request].

Youth Coordinator

Primary purpose of position This role provides administrative and operational leadership for both Middle School and High School ministries, ensuring volunteers, events, and systems run smoothly.

Key Responsibilities

• Own and manage the volunteer screening and onboarding process by receiving applications, tracking applicant progress alongside Youth pastor, coordinating background and safety checks, and ensuring volunteers are fully cleared and prepared before being integrated into ministry teams
• Coordinate the logistics and administration of youth events and camps including registration setup, form collection, communication timelines, and operational preparation
• Maintain and manage the Youth Ministry calendar ensuring key dates, events, and programming details are accurate and communicated across staff and ministry leaders as well as parents and students
• Utilize Planning Center (PCO) to support ministry operations, including creating events, reserving rooms, maintaining accurate student and parent information, and tracking volunteer involvement
• Assist in purchasing and preparation of supplies and resources needed for weekly programming, events, and camps
• In partnership with the Youth Pastor, create and send all weekly communication emails to parents
• Maintain organization and readiness of youth ministry storage and materials to support weekly programming and events
• Champion safety and compliance standards by ensuring all required documentation (liability waivers, medical forms, background checks, etc.) are completed, properly stored, and kept up to date.

Qualifications

• Strong organizational and administrative skills with the ability to manage multiple projects, timelines, and details simultaneously while maintaining a high level of accuracy.
• Experience managing systems and databases (Planning Center or similar platforms preferred) with the ability to maintain accurate records, track processes, and keep information up to date.
• Excellent communication and follow-through with the ability to coordinate effectively with staff, volunteers, parents, and students while ensuring tasks and processes are completed in a timely manner.
• Ability to design, implement, and sustain efficient organizational systems and processes to enhance operational effectiveness
• Intimate and growing personal relationship with Jesus Christ
• Cooperative, servant attitude, and collaborative
